1. General Terms

TrekWithYogis ("we", "us", "our") operates adventure travel services including trekking, yoga experiences, and spiritual journeys in the Himalayan region. These terms govern your relationship with us and your participation in our activities.

By registering for any of our treks or experiences, you enter into a contractual agreement with TrekWithYogis and agree to comply with all terms, conditions, and policies outlined herein.

2. Booking and Payment Policy

2.1 Booking Process

• All bookings must be made through our official channels (website, authorized agents, or direct contact)
• Booking is confirmed only upon receipt of the required deposit/full payment
• We reserve the right to cancel bookings if payment is not received within the specified timeframe
• All prices are quoted in Indian Rupees (INR) unless otherwise specified

2.2 Payment Terms

• A non-refundable deposit of 30-50% is required to confirm your booking
• Full payment must be completed 30 days before the trek start date
• Payments can be made via bank transfer, UPI, or approved payment gateways
• All prices are subject to change without prior notice until booking confirmation

3. Cancellation and Refund Policy

3.1 Natural Disaster Cancellation Policy

3.2 Refund Processing

• Refunds will be processed within 7-14 business days after cancellation approval
• Refunds will be made to the original payment method
• Processing fees and gateway charges are non-refundable
• In case of force majeure events, alternative dates or credit vouchers may be offered

4. Participant Eligibility and Requirements

4.1 Age and Fitness Requirements

• Minimum age for participation is 16 years (with parental consent for under 18)
• Participants must be in good physical and mental health
• Medical fitness certificate may be required for high-altitude treks
• Participants with pre-existing medical conditions must disclose them during booking

4.2 Required Documentation

• Valid government-issued photo ID (Aadhar Card, Passport, Driving License)
• Medical fitness certificate (for specific treks)
• Emergency contact details
• Travel insurance (recommended but not mandatory)

5. Safety and Risk Management

5.1 Safety Measures

• All treks are led by certified and experienced guides
• Safety equipment and first aid kits are provided
• Emergency evacuation procedures are in place
• Weather conditions and route safety are continuously monitored

5.2 Participant Responsibilities

• Follow all instructions from trek leaders and guides
• Maintain group discipline and respect fellow participants
• Carry mandatory personal equipment as specified
• Inform guides immediately of any health issues during the trek

6. Itinerary and Service Modifications

TrekWithYogis reserves the right to modify itineraries, accommodations, or services due to:

• Weather conditions and natural calamities
• Political situations or security concerns
• Road blocks, strikes, or transportation issues
• Medical emergencies or safety considerations
• Government regulations or permit restrictions

While we strive to provide alternative arrangements of similar standard, no compensation will be provided for such modifications made in the interest of safety and security.

7. Liability and Insurance

7.1 Limitation of Liability

TrekWithYogis acts only as an agent for various service providers and shall not be liable for any loss, injury, or damage arising from services provided by third parties including but not limited to transportation, accommodation, or medical services.

7.2 Insurance Recommendation

• We strongly recommend participants obtain comprehensive travel insurance
• Insurance should cover medical expenses, emergency evacuation, and trip cancellation
• High-altitude trekking coverage is specifically recommended
• TrekWithYogis does not provide insurance coverage for participants

8. Code of Conduct

8.1 Environmental Responsibility

• Follow Leave No Trace principles
• Respect local flora, fauna, and ecosystems
• Dispose of waste responsibly
• Use water and natural resources mindfully

8.2 Cultural Sensitivity

• Respect local customs, traditions, and religious practices
• Dress modestly, especially in religious or cultural sites
• Seek permission before photographing people or religious ceremonies
• Support local communities through responsible tourism practices

9. Equipment and Personal Belongings

TrekWithYogis provides group equipment including tents, cooking equipment, and safety gear. Participants are responsible for their personal equipment and belongings. We recommend:

• Following the provided packing list carefully
• Carrying only essential items to minimize weight
• Ensuring personal equipment is in good working condition
• Taking responsibility for personal belongings and valuables

10. Force Majeure

TrekWithYogis shall not be liable for any failure to perform its obligations due to circumstances beyond reasonable control, including but not limited to:

• Natural disasters, earthquakes, floods, or extreme weather
• Government actions, war, terrorism, or civil unrest
• Strikes, labor disputes, or transportation disruptions
• Pandemic or health emergencies

11. Data Protection and Privacy

We respect your privacy and are committed to protecting your personal information. By booking with us, you consent to the collection and use of your personal data for:

• Processing your booking and providing services
• Emergency contact purposes during treks
• Communication about your booking and our services
• Compliance with legal and regulatory requirements

12. Dispute Resolution

Any disputes arising from these terms or your participation in our services shall be resolved through:

• Initial attempt at amicable resolution through direct communication
• Mediation through a mutually agreed mediator
• Legal proceedings in the courts of New Delhi, India
• Governing law shall be the laws of India

13. Amendments and Updates

TrekWithYogis reserves the right to modify these terms and conditions at any time. Updated terms will be posted on our website, and participants will be notified of significant changes. Continued use of our services after modifications constitutes acceptance of the updated terms.
